Job Description
The role of a PA to the CEO is dynamic and requires a combination of strong organizational skills, discretion, and the ability to manage various tasks simultaneously, all while ensuring the CEO’s priorities are met effectively.
Job Responsibilities
- Organize and maintain the CEO’s calendar, including scheduling appointments, meetings, and travel arrangements
- Prioritize meetings and events based on the CEO’s preferences and time constraints.
- Serve as the first point of contact between the CEO and internal/external members.
- Screen emails, and other communications, responding on behalf of the CEO when appropriate.
- Draft, proofread, and send correspondence, including emails, memos, and reports.
- Handle confidential information with discretion and integrity.
- Manage expense reports and reimbursements for travel and other CEO-related expenses.
- Arrange and coordinate meetings, including virtual, in-person, and conference calls.
- Ensure meeting materials, agendas, and presentations are prepared ahead of time.
- Coordinate events or conferences attended by the CEO, including logistics, invitations, and materials.
- Maintain and organize the CEO’s files, ensuring easy access to important documents.
- Ensure all important documents are accurately filed and archived, both digitally and physically.
- Assist with special projects as directed by the CEO, ensuring tasks are completed on time and to the highest standards.
- Track project deadlines, progress, and deliverables, ensuring nothing falls through the cracks.
- Handle sensitive information in a professional and confidential manner, demonstrating trustworthiness.
- Support decision-making by gathering relevant information and providing summaries or insights when needed.
- Provide personal support to the CEO as needed, including managing personal appointments, errands, and other non-business-related tasks.
- Coordinate with high-level executives, clients, and business partners.
- Perform any other duties as required by the CEO to ensure efficient functioning of both professional and personal matters.
